We only collect data needed to provide the service you request. This may include identity and contact details; membership, donation, payment status and transaction references; activity registrations and messages; account and authentication data when the Friend area is enabled; and technical information such as language and cookie choices.
We process data to manage memberships, gifts, registrations and requested communications; comply with accounting and legal duties; protect the website; and, where you choose it, send news and invitations. The legal bases may be contract, legal obligation, legitimate interests or consent, depending on the purpose.
Payments are processed by Stripe. Collegium Vocale Gent does not receive or store your full card number. Stripe processes payment and fraud-prevention data under its own terms and as a service provider where applicable.
Depending on the features enabled, we may use Framer for website hosting, Stripe for payments, Brevo for email communication, Supabase for Friend accounts and registrations, and Make or Zapier for approved workflow automation. Providers may process data only for the agreed purpose and subject to appropriate safeguards.
Some providers may process data outside the European Economic Area. Where this occurs, we rely on an adequacy decision or appropriate safeguards such as the European Commission’s standard contractual clauses.
We keep personal data only for as long as required for the purpose for which it was collected. Financial and tax records are retained for the period required by Belgian law. Newsletter data is retained until you unsubscribe. Inactive account data is reviewed and deleted or anonymised when no longer necessary.
Under the GDPR, you may request access, correction, deletion, restriction, objection or portability where applicable. You may withdraw consent at any time. Send requests to vrienden@collegiumvocale.com. You may also lodge a complaint with the Belgian Data Protection Authority.
At this stage, the site uses Framer Analytics, which does not use cookies, and only essential storage required for functionality such as language or future secure account sessions. No optional tracking cookies are activated. If non-essential integrations are introduced, a consent banner with Accept all, Reject optional and Settings will be added before activation.
We apply proportionate technical and organisational measures to protect personal data. No online service can guarantee absolute security. We may update this policy when the website or our legal obligations change. The review date above identifies the current version.
